This Privacy Policy describes how Coaches Pick ("we," "us") collects, uses, and shares personal information when you use coachespick.com, our league management platform, and related services (the "Service").

Children under 13: Personal information about children is governed by our Children's Privacy Policy, which is the COPPA notice required by the Children's Online Privacy Protection Act. If anything in this policy conflicts with that notice on children's data, the Children's Privacy Policy controls.

1. Who this policy covers

This policy applies to adults who use the Service: league owners, coaches, referees, parents, and guardians, and to visitors of our website. It covers information collected on the website, in the platform, and through contact or demo forms. It does not apply to third-party sites we link to.

2. Information we collect

Information you provide

  • Name, email, phone number, and organization or league name
  • Account credentials and profile details
  • Messages you send through contact forms, demo requests, or in-app messaging
  • Event registration and payment information (processed by our payment provider)
  • Roster, schedule, and league content you enter
  • Information about a child you register, as described in the Children's Privacy Policy

Information collected automatically

  • IP address, browser type, device type, and operating system
  • Pages viewed, referral URL, and approximate location derived from IP
  • Log and diagnostic data used to operate and secure the Service

We do not require precise device location. If a future feature uses it, it will be optional and off by default.

3. How we use information

  • Provide, maintain, and improve the Service
  • Create accounts, rosters, schedules, and event registrations
  • Process payments made by adults for events
  • Respond to contact and demo requests
  • Send transactional messages (registration confirmations, league notices you request)
  • Detect fraud, enforce our terms, and protect users
  • Comply with law
  • Understand website usage so we can improve the marketing site (see Cookies below)

4. How we share information

We do not sell personal information. We do not share it for targeted advertising. We share it only:

  • Inside your league: with coaches, staff, and other authorized adults as needed to run the league
  • With service providers: hosting (including Vercel), transactional email (Resend), payment processing, and website analytics (Microsoft Clarity on the public site). Providers may use data only to serve us and must protect it
  • For legal reasons: if required by law, or to protect a person or the Service
  • In a business transfer: if we merge or sell assets, with the successor bound to this policy or required to give new notice

5. Cookies and Microsoft Clarity

Our public website uses cookies and similar technologies, including Microsoft Clarity, to understand how visitors use the site (pages viewed, clicks, and session replay of the marketing site). This helps us improve the website. We do not use these tools to advertise to children or to build a profile of a child.

You can control cookies in your browser. Blocking some cookies may affect site features. We honor Global Privacy Control (GPC) signals for opt-out requests where applicable.

6. Children's privacy (COPPA)

The Service is directed to adults. We do not knowingly allow children under 13 to create accounts. When a parent, guardian, or authorized league operator provides a child's information for a roster or event, we treat it as children's personal information under COPPA.

7. Your rights

Subject to law, you may:

  • Access the personal information we hold about you
  • Correct inaccurate information
  • Request deletion, subject to legal retention (for example, completed payments)
  • Opt out of non-transactional email by using the unsubscribe link or emailing us
  • If you are a parent, exercise the rights in the Children's Privacy Policy for your child

Email contact@coachespick.com. We will verify your identity before fulfilling a request. We do not discriminate against you for exercising privacy rights.

8. Additional notice for residents of California and other U.S. states

If you live in California or another state with a comprehensive privacy law (including Colorado, Connecticut, Delaware, Iowa, Minnesota, Montana, Nebraska, New Hampshire, New Jersey, Oregon, Tennessee, Texas, Utah, and Virginia), this section applies.

Categories collected in the past 12 months: identifiers (name, email, phone, IP); commercial information (registrations and transactions); internet activity on our site; approximate location from IP; and, when a parent or league provides it, information about a child and optional health or safety notes.

Sources: you; your use of the Service; league operators you authorized; payment and email providers.

Purposes: those in Section 3. We do not sell personal information or share it for cross-context behavioral advertising. We do not use sensitive information beyond what is needed to provide the Service.

Your rights may include know/access, correct, delete, opt out of sale or sharing (we do not sell or share for ads), limit use of sensitive information, and non-discrimination. Authorized agents may submit requests with proof of authorization. You may appeal a denial by emailing us within 45 days. If still unsatisfied, you may contact your state attorney general.

Submit requests to contact@coachespick.com. We will respond within the time your state's law requires, typically 45 days.

9. Retention and security

We keep personal information only as long as needed to provide the Service, complete a paid event, resolve disputes, or meet legal duties. We use reasonable administrative, technical, and physical safeguards. No method of transmission or storage is completely secure.

10. International transfers

The Service is operated in the United States. If you access it from another country, your information will be processed in the U.S.

11. Changes

We may update this Privacy Policy by posting a new version on this page. Material changes will be noted by updating the date, and where required we will give additional notice. Material changes to children's data practices are handled as described in the Children's Privacy Policy.
