Children's Privacy Policy

This Children's Privacy Policy is the online notice required by the Children's Online Privacy Protection Act ("COPPA") and the FTC's COPPA Rule (16 C.F.R. Part 312). It explains what personal information Coaches Pick collects about children under 13, how we use and disclose it, and how a parent or legal guardian can review, delete, or refuse further collection of that information.

This notice is part of our Privacy Policy. If anything here conflicts with the Privacy Policy on children's data, this Children's Privacy Policy controls. By registering a child or authorizing a league to do so, you agree to this notice.

1. Operator information

Coaches Pick does not share operator status with another company for this service. If that changes, we will update this notice with each operator's name and contact information, or name a single contact who will respond on behalf of all operators.

2. This service is for adults

Coaches Pick is a youth sports league management platform directed to adults: league owners, directors, coaches, referees, and parents or guardians. We do not offer signup, messaging, or account creation directed at children under 13. A child under 13 must not create an account, submit a form, or send us personal information on their own.

Personal information about children is provided by a parent, legal guardian, or a league operator acting with that adult's authorization. If we obtain actual knowledge that we collected personal information directly from a child under 13 without verifiable parental consent, we will delete it as soon as reasonably practicable and will not use it except as needed to respond to the parent or comply with law.

3. What personal information we collect about children

We collect only the information reasonably necessary for a child to participate in a league or event. We do not condition participation on disclosing more than that. Information may be collected:

  • From a parent or guardian during registration, profile setup, or payment
  • From a league operator or coach when they enter roster or event information the parent authorized
  • Automatically if an adult uses the website or app while managing a child's profile (device and log data described below). We do not place tracking technologies on a child's device for advertising.

Information typically collected about a child:

  • Name
  • Age, date of birth, or age division / grade
  • Gender or division, if the league uses it for rostering
  • Team, league, jersey number, and schedule information
  • Parent or guardian name, email, phone number, and mailing or emergency-contact details
  • Optional safety notes the parent chooses to provide (for example, allergies or other medical information needed for participation)
  • Photos or videos only if a parent or authorized league adult uploads them
  • Registration history and the adult payer's transaction record

Information we do not collect from or about children as a condition of use:

  • Social Security numbers or government ID numbers
  • Precise geolocation tracking of a child
  • Biometric identifiers (fingerprints, face templates, voiceprints)
  • A child's own email address, password, or payment method for an independent account
  • Behavioral advertising identifiers tied to a child

4. How we use children's personal information

We use a child's personal information only to:

  • Create and maintain a roster, schedule, standings, and game or event records
  • Process event registration paid by a parent or guardian
  • Allow authorized adults in that league to communicate about the team, game, or event
  • Support safety, eligibility, emergency contact, and parent communications
  • Prevent fraud, enforce our terms, and protect the security of the service
  • Comply with law, legal process, or a valid parental request

We do not use children's personal information for targeted or behavioral advertising, for building an advertising profile, or for sale to data brokers or advertisers.

5. Disclosure to third parties

We do not sell children's personal information. We disclose it only as described below.

A. Other users inside the child's league (integral to the service)

Roster, schedule, and team information is visible to authorized adults in that league (parents of teammates where the league enables it, coaches, referees, and league staff). This disclosure is necessary for the service to function. A parent who does not want this sharing cannot use Coaches Pick to register the child for that league feature.

B. Service providers who process data for us

We use vendors who host the platform, send transactional email, and process payments made by adults. Those vendors may process children's information only to provide their service to us. They are obligated to keep it confidential and secure and are not permitted to use it for their own marketing. Typical categories:

  • Cloud hosting and application infrastructure
  • Transactional email delivery
  • Payment processing for the adult who pays a registration or event fee

C. Legal and safety disclosures

We may disclose information if required by law, court order, or government request, or if we believe in good faith it is necessary to protect a child, another person, or Coaches Pick from harm or illegal activity.

D. Business transfers

If Coaches Pick is involved in a merger, acquisition, or sale of assets, children's information may transfer as part of that transaction. We will require the successor to honor this Children's Privacy Policy or obtain new parental consent.

Parental choice on non-integral disclosure. Under COPPA, a parent may consent to our collection and use of a child's information without consenting to disclosure to third parties, except where disclosure is integral to the service (league rostering and the vendors required to operate it). We do not disclose children's information to unaffiliated third parties for those parties' own independent use. If we ever propose a non-integral disclosure, we will obtain separate verifiable parental consent first, and a parent may refuse that disclosure while still using the core service.

6. Verifiable parental consent

We do not collect personal information from a child under 13 without verifiable parental consent, except for the limited exceptions allowed by COPPA (for example, a one-time response to a parent, or information needed to obtain consent itself).

Consent is obtained from the parent or legal guardian, or from a league operator who represents that the parent or guardian authorized the child's registration. Methods we may use include:

  • The parent completing registration using their own email address and confirming the registration
  • The parent providing a payment method in their own name (for example, a credit or debit card) in connection with the child's event registration
  • A signed or electronically acknowledged consent or league registration form
  • Another method that reasonably confirms the person is the child's parent or legal guardian

A parent may refuse consent or revoke it later. If consent is refused or revoked, we will not collect further personal information from or about that child except as needed to close the record, and we will delete existing information as described in Section 10. Revoking consent may mean the child cannot remain on a roster or participate in a paid event. Event fees already paid are governed by our Refund Policy.

7. Parent rights: review, correct, delete, and refuse

A parent or legal guardian has the right to:

  • Review the personal information we have collected about their child
  • Refuse to permit further collection or use of their child's personal information
  • Request that we delete their child's personal information
  • Correct information that is inaccurate
  • Consent to collection and use without consenting to any non-integral disclosure to third parties

How to make a request: call 352-403-0647 or email contact@coachespick.com from the email used for the registration, with the subject line "COPPA / Child Privacy." Include your name, your relationship to the child, the child's name, and the league or event. You may also write to us at the operator address in Section 1.

We will take reasonable steps to verify that you are the child's parent or legal guardian before we disclose or delete the child's information. We will not require you to pay a fee or provide more information than reasonably necessary to process the request. We aim to respond within 30 days.

8. We do not require more than is reasonably necessary

Participation in Coaches Pick is not conditioned on a child disclosing more personal information than is reasonably necessary to participate in the league or event. Optional fields (such as photos or extra medical notes) are optional. A parent may leave them blank.

9. Cookies, analytics, and persistent identifiers

Our public website may use cookies and Microsoft Clarity to understand how adults use the marketing site. Those tools are not used to advertise to children or to build a profile of a child. We do not use persistent identifiers on a child for behavioral advertising.

If an adult is logged in and managing a child's roster or registration, standard security and session identifiers may be used to keep that adult signed in and to prevent fraud. Those identifiers are used to operate the service, not to track a child across unrelated sites.

10. Retention and deletion

We retain a child's personal information only as long as reasonably necessary to fulfill the purpose for which it was collected, including running the current season, completing a paid event, resolving a dispute, or meeting a legal record-keeping obligation. When it is no longer needed, we delete or de-identify it.

When a parent requests deletion, we will delete the child's personal information from systems we control, except where we must keep a limited record (for example, a completed payment, a fraud investigation, or a legal hold). Service providers are instructed to delete or return data when their services end or when we request deletion.

11. Security

We use reasonable administrative, technical, and physical safeguards designed to protect children's personal information from unauthorized access, use, or disclosure. These include access limits, encrypted transmission where appropriate, and vendor contracts that require confidentiality. No method of transmission or storage is completely secure. If we become aware of a breach that involves a child's personal information, we will notify the affected parent or guardian as required by law.

12. Photos, media, and messaging

We do not require photos or videos of a child. If a parent or league adult uploads media, it may be visible to other authorized adults in that league. Parents should not upload media they do not have the right to share.

Messaging is intended for adults coordinating a league. Adults must not use Coaches Pick to contact a child privately in an inappropriate way. There is no public, child-directed message board or social feed.

13. Youth ages 13 to 17

COPPA applies to children under 13. For players ages 13 to 17, we still treat their information as sensitive youth data: we do not sell it, we do not use it for targeted advertising, and a parent or guardian remains the account holder for registration and payment. League operators must follow their own rules and applicable state law for teen participants.

14. League operator responsibilities

If you run a league on Coaches Pick, you must have authority to enter a child's information, obtain any parental consent your league requires, limit staff access to people who need it, and not use the platform to collect extra child data for your own unrelated purposes. You are responsible for your league's on-field safety, background checks, and communications. Coaches Pick provides software; it does not supervise children.

15. International users

Coaches Pick is operated in the United States. If you provide a child's information from outside the United States, that information will be processed in the U.S., where privacy laws may differ.

16. Changes to this Children's Privacy Policy

We will post updates on this page and change the "Last updated" date. If we make a material change to how we collect, use, or disclose children's personal information, we will provide additional notice to parents (for example, by email) and, where COPPA requires it, obtain new verifiable parental consent before the new practice applies.
